Certificate requests and link workflow
The engine of the certificate process. On every posted purchase receipt or sales shipment, DXSteel generates a Certificate Request per lot. You then link certificates โ manually or automatically โ through Certificate Link Management.
Status overview
|
Status |
Meaning |
|---|---|
|
Open |
Request exists, no links yet. |
|
Linked |
Fully linked; not yet sent. |
|
Sent |
Dispatched to customer/vendor. No longer editable. |
|
Received |
Counterparty processed the document. |
The linking workflow
-
Request arises automatically on receipt or shipment.
-
Open Certificate Link Management. Filter by document type (Purchase Receipt or Sales Shipment) and document number.
-
For each request: select matching certificates via Select certificate. DXSteel surfaces candidates that fit the matching rules from Certificate Setup.
-
Per link, set: certificate number, certificate line number, pieces linked.
-
The system guards: Linked quantity (%1) may not exceed requested quantity (%2). You can never link more than requested.
-
When a request is fully linked, DXSteel auto-flips the status to Linked.
-
Send via Send Certificates or the automated job, and links move to Sent; the request follows.
Auto-linking (matching rules)
Certificate Setup defines three cascading match steps for purchase and sales (see Setup โ Certificate Setup). DXSteel tries Step 1, then Step 2, then Step 3 until a match is found:
-
HeatNo./PlateNo. โ strictest.
-
HeatNo./PlateNo./ItemNo. โ item must also match.
-
HeatNo./PlateNo./ReceiptNo. โ receipt must also match.
-
Blank = skip this step.
Common errors

Message |
Resolution |
|---|---|
|
"Linked quantity (%1) may not exceed requested quantity (%2)" |
Link a smaller quantity or increase the request (only before sending). |
|
"A Certificate Request can't be deleted when it is sent" |
Request already sent. Use Revert status to return to Linked. |
|
"A certificate link can't be deleted when the certificate request is sent." |
Same for links. |
Reverting a Sent status
On Certificate Link Management, the action Revert status lives. You first see the confirmation "Are you sure you want to revert the status of certificate request ... from Sent to Linked?". After confirming, the status reverts. You cannot revert all the way back to Open; Linked is the minimum.
Best practices
Set Step 1 = HeatNo./PlateNo., Step 2 = HeatNo./PlateNo./ItemNo., Step 3 = HeatNo./PlateNo./ReceiptNo. during implementation. That's the most common cascade.
Releasing a certificate prompts "Do you want to release certificate %1 now?". After release the certificate can be linked to requests โ and partially locks down.
