Certificates in DXSteel
Mill certificates (inspection documents) are a core DXSteel process: on every purchase receipt a certificate request can be created automatically, the received certificate is linked to specific lots, and on outbound shipment it is forwarded to the customer. Profiles: dxsteel Purchase (incoming side), dxsteel Sales (customer side), dxsteel Warehouse and Manufacturing (linking in the warehouse).
The incoming certificate flow
-
Purchase receipt — on release or receipt DXSteel can automatically generate a Certificate Request per lot.
-
Send the request — open Purchase Certificates, review open requests, and choose Send. Status becomes Sent.
-
Receive the certificate — register the received mill certificate via Certificates (manual entry) or via Conversion Import (standardised import from vendor Excel).
-
Link — link certificate lines to received lots via Certificate Link Management. Linked quantity cannot exceed the requested quantity.
-
Release — choose Release on the certificate. You'll be asked: "Do you want to release certificate ... now?".
-
On Hold flag — the On Hold flag on the purchase invoice clears only once the request is linked and the certificate is received.
The outgoing certificate flow
-
Sales Certificates — open the page, pick the lines to send to the customer.
-
Send — choose Send. DXSteel assembles a mail file and logs the send in Posted Sales Certificates.
-
Completeness check — if not all order lines are fully linked, DXSteel prompts: "Order ... is not completely linked. Do you want to continue anyway?".

Irreversible action: a sent certificate request cannot be deleted. Use Revert status to return to Linked status — with care.
The automated batch Certificates - Send Automated Job can send outgoing certificates to customers on a schedule (see Reports).
